Job Description
Plano Civic Chorus-Choral Operations Manager


Position Overview
The Choral Operations Manager will be responsible for the day-to-day management of choral operations and overseeing data input and output requests across various database modules. This role will involve communication with the community, choir members, and donors. Working under the direction of the PCC President, the Choral Operations Manager will customize and execute communication for different types of attendees and events, such as rehearsals, concerts, team-building events, and member retreats. The Choral Operations Manager will also be responsible for generating attendance reports, maintaining member and donor lists, and tracking event responses. 

This is a part time, salaried position that will report to the Plano Civic Chorus president. Funding for chorus activities and staff expenses comes from grants, corporate sponsors, donor contributions, ticket sales, and dues paid by the members of the chorus. 

Candidate interviews will be scheduled starting in May 2024. Anticipated start date is July 1, 2024.

Required Qualifications
  • Bachelor's degree in a related field (or equivalent work experience) 
  • Experience with database management and/or choral management software
  • Strong communication and organizational skills 
  • Ability to work independently and as part of a team 
  • Attention to detail and ability to multitask 
  • Excellent time and deadline management skills
  • Proficiency in Microsoft Office Suite 
Preferred Qualifications
  • Experience working in a performing arts or choral organization
  • Knowledge of fundraising and donor management
  • Familiarity with event planning and management
  • Experience with Customer Relationship Management (CRM) systems and email marketing platforms 

Duties and Responsibilities
  • Manage day-to-day operations of choral management software, including data input and output requests
  • Compose effective and well written communications that are customized to the targeted recipients (member, patron, donor, attendee) 
  • Communicate effectively and professionally with the community, members, and donors 
  • Box office management and reporting
  • Manage Ad Sales for the concert program, including collecting forms and following up with advertisers
  • Digital Marketing: adding concerts to public arts calendars
  • Publications Management, including coordinating with graphic designer and printer to produce flyers, posters, concert programs
  • Assist with social media promotions as needed
  • Assist Treasurer and Committee Chair with North Texas Giving Day activities
  • Manage schedules for events, members, and volunteers, including generation of sign-up forms and weekly member emails with input from artistic director and board members
  • Generate attendance reports and track event responses 
  • Assist with stage management and concert production
  • Schedule periodic software training for Committee Chairs and Board Members, and Choir Members
  • Respond to software end user requests in case of questions or issues 
  • Conduct regular surveys measuring user satisfaction with the choir management software
  • Other duties as assigned 

Work Environment
The Choral Operations Manager may be required to attend events, rehearsals, and meetings outside of regular business hours. This position may require occasional lifting of up to 25 pounds.
